The GME Track® Resident Dataset is a standardized GME Track dataset for approved researchers that contains de-identified individual-level demographic and training data on those who trained in an ACGME-accredited residency program in the most recent ten GME Years.

 

Prior to adding the GME Track Resident Dataset to the cart, you must have submitted a request for the data by completing the AAMC Data Request Form, and you must have received approval from the AAMC External Data Request team. A member of the AAMC External Data Request team will follow up within two business days of an approved, completed transaction to securely deliver the dataset.

Product Description 

The GME Track® Resident Dataset is a standardized GME Track dataset for approved researchers that contains de-identified individual-level demographic and training data on those who trained in an ACGME-accredited residency program in the most recent ten GME Years.

The dataset contains the most frequently requested GME variables, including, but not limited to, race/ethnicity, gender, specialty, and an attrition indicator. A detailed codebook is included with the delivery of the dataset. A list of the data fields is included in the Terms and Conditions.

 

Delivery

The data shall be sent to the licensee in an Excel file using a secure file transfer tool (e.g., Workspaces).

 

Refund Policy

Detailed in our terms and conditions. AAMC reserves the right to terminate any transaction that does not meet the qualifications for license of this data set.

 

Terms of License

By licensing the data set from the AAMC, you agree to our terms and conditions for licensing. Licensing fees made through the AAMC Store should be made using a Visa®, MasterCard®, American Express®, or Discover® card. If you are required to make your licensing fee via a check or ACH transaction and/or use a purchase order, please contact the AAMC Store (aamcstore@aamc.org). If you make your licensing fee by purchase order, no term or condition presented in the purchase order is binding on AAMC if in conflict with, inconsistent with, or in addition to the terms of license herein.

Terms and Conditions

By licensing the GME Track® Resident Dataset from the AAMC, you (“Licensee”) represent and warrant that you have the authority to bind yourself and your institution (“Institution”) to this License with the Association of American Medical Colleges (“AAMC”), for the purpose of the provision and use of AAMC GME Track data (the “License”). This License grants Institution a limited, revokable, non-transferrable, non-sublicensable license to use the Data only as permitted by this License. The AAMC Website Terms and Conditions are incorporated by reference to this License. If you pay by purchase order, no term or condition presented in the purchase order is binding on the AAMC if in conflict with, inconsistent with, or in addition to this License.

Data to be Shared

The data shall include the following de-identified variables for all entering residents in general specialties for GME Years 2014 through 2023 (“Data”):

GME.GME_ON_DUTY – One row per person, per general specialty of training

  • UNQIUE_ID - Unique de-identified individual identifier
  • UNIQUE_PROGRAM_ID – Unique de-identified program identifier
  • GME General Specialty Code
  • GME General Specialty Description
  • Most recent U.S. Citizen/Permanent Resident indicator (Y/N)
  • Type of Medical School of Graduation (U.S. MD, U.S. DO, IMG)
  • GME Year entered training in specialty
  • Geographic region of first program entered in specialty
  • Preliminary or categorical training indicator – Operationalized using length of training
  • GME Year completed training in specialty (if applicable)
  • Attrition indicator (Y/N) – “Y” if the individual withdrew from this specialty, was dismissed from this specialty, or transferred out of this specialty to a new specialty
  • GME Year of attrition (if applicable)
  • Entered Fellowship in Specialty Indicator (Y/N)

GME.GME_RESIDENT_SURVEY

  • Most recent gender
  • Age at entry into residency training (grouped)

IND.IND_IDENT

  • SUM_IDENT_CAT_ARRAY – Race/ethnicity category. Most recent self-identified race/ethnicity is prioritized. Third-party race/ethnicity may be provided in cases where no self-identified race/ethnicity information is available. 

 

Use of the Data by the Institution

Institution will use the Data only for the specific research project for which Institution has requested use of the Data and has received AAMC approval for such research project (the “Research”). Each party agrees that the Data represents confidential and unpublished data and material and that the AAMC reserves all rights in the Data. Institution will not, and will not attempt to, identify, re-identify, or deduce the identity of any specific individuals or institutions in any Data that has been provided under this License in de-identified or aggregate form. Institution shall only use the Data for the Research and, by way of illustration and not of limitation, Institution shall not (1) publish the Data as its own or otherwise appropriate the Data for its own use other than as permitted herein, or (2) except as otherwise permitted herein, disseminate, expose, or publish the Data to third parties or the public in general. For the avoidance of doubt, this means that Institution will not expose the Data to generative artificial intelligence programs, large language models, training datasets, or other tools that incorporate the Data without appropriate limitations on use and without the ability to purge the Data, including its derivatives, from the tool at the end of the License. Institution will conduct the Research in an ethical manner consistent with its own institutional research policies, requirements or guidance of any applicable institutional review board, and general principles for the ethical conduct of research.  It is expressly understood and agreed that the AAMC’s rights, including, but not limited to, common law and statutory rights of literary property and copyright, in the Data are not assigned or released as a result of this License, but are at all times reserved and retained by the AAMC, subject to the limited uses permitted under this License, and only during the term hereof, unless otherwise agreed.  Institution shall not use the AAMC name, logo or brand without specific written authorization from AAMC, except as set forth in Acknowledgements Section.

 

Restrictions of the Transfer of the Data to Third Parties

Institution agrees that the Data shall reside only with the parties involved in the Research at the Institution, and that the Data will not be shared or transferred to any other researcher, or any third-party person or organization, or posted in a public forum, including, but not limited to, the internet or a poster presentation, without express written permission of AAMC.  Institution further agrees that it shall safeguard the Data and shall conscientiously exert all reasonable measures to ensure individual and institutional confidentiality and materials security.

Acknowledgements

All publications and presentations that use the Data provided under this License must contain the following (or equivalent) acknowledgement and disclaimer:

"This material is based upon data provided by the Association of American Medical Colleges (“AAMC”).  The views expressed herein are those of the authors and do not necessarily reflect the position or policy of the AAMC." 

 

Institution must receive prior written approval from the AAMC Data Contact before listing any AAMC staff member as an author.  Any acknowledgement should state, where appropriate, that the conclusions expressed are solely those of the author(s).

 

Publications

No less than thirty (30) days before completing work on any publication based upon or incorporating the Data in the research, Institution shall consult with and share a draft with the AAMC Data Contact regarding issues related to: interpretation of the Data, faulty interpretation, incomplete understanding of the Data, Data limitations, and assurance that no sensitive data identifying a person or institution have been revealed.  Nothing in this review and consultation, however, shall be construed to restrict the right of Institution to publish its interpretations and conclusions based upon the Data as it sees fit. Within one month after completion of any publication or report based upon or incorporating the Data, Institution shall forward to the AAMC Data Contact a copy of such publication or report for AAMC files.

 

Term and Termination

The term of this License commences on the date of purchase and continues for a period of three (3) years (the “Term”). Institution or AAMC may terminate this License (i) for any reason with thirty (30) calendar days written notice to the other party and (ii) immediately if Institution has not received AAMC approval prior to purchasing the Data in the AAMC Store.  No refund for early termination will be provided unless the License is terminated by the AAMC within forty-five (45) days of the date of purchase, in which case the AAMC will provide a full refund. Data may not be used by Institution beyond the termination or expiration of this License, and at the end of the License, Institution shall destroy the original AAMC Data file and all copies and derivatives, in whole or in part, whether or not combined or integrated to another data set, in any form of the Data set provided by AAMC.  An archival copy of the Data set may be sent to AAMC should the Data be required for future publication verification.

 

Warranty

THE AAMC PROVIDES THESE DATA “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTY OF ANY KIND WHETHER EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION, WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND WARRANTIES ARISING FROM COURSE OF DEALING OR COURSE OF PERFORMANCE OR AS TO COMPLETENESS OR ACCURACY OF ANY INFORMATION OR DATA PROVIDED UNDER THIS LICENSE.  INSTITUTION RELEASES THE AAMC FROM ANY AND ALL LIABILITY FOR INACCURATE OR INCOMPLETE INFORMATION.

 

Responsibility for Liability

Institution agrees that it shall be responsible for all demands, claims, damages to persons or property, losses, liabilities, including reasonable attorney fees, arising out of or caused by Institution’s breach of this License or the negligent acts or omissions of Institution, its employees, agents, or students related to the Data licensed under this License, if assessed by a court of competent jurisdiction to be the responsibility of Institution.
